UW-Stout International Travel Procedures

When traveling abroad, there is no expectation of privacy. Always assume cyber “eavesdropping” is potentially taking place on all electronic communications at your destination, U.S. ports of entry, and during travel.  Below are steps to take before, during, and after your travel to safeguard the confidentiality of the data and hardware that will travel with you. Please contact the Learning and Information Technology (LIT) Helpdesk prior to any international travel for assistance.

Before You Go

  • Schedule an appointment with your IT consultant.

  • Obtain an LIT loaner Laptop and phone.

  • Bring only the data you need for your trip and remove any sensitive or confidential data.

  • Avoid posting social media announcements about your travel plans.

  • Work with your IT consultant staff to backup all your devices to a secure location.

  • Work with your IT consultant staff to ensure all your devices have the latest security patches and that encryption is enabled.

  • Understand how to use multi-factor authentication when you travel outside the U.S. as processes may vary based on travel destinations. Contact the LIT Help Desk for more information.

While You’re Traveling

  • Be aware that travel to certain countries may require you to unlock your devices for inspection.

  • Always maintain awareness of your surroundings for your own personal safety as well as the security of data and devices in your possession.

  • Be cautious when entering your username and password into your devices, as individuals nearby may attempt to obtain your credentials by observing your screen and keyboard.

  • Be cautious of public Wi-Fi since they are often unsecured.

  • Avoid accessing confidential or sensitive information from your device.

  • Use UW-Stout’s VPN service for connections back to campus (if allowed) China does not allow this.

  • Do not install software.

  • Avoid using public computers.

  • Disable Bluetooth and Wi-Fi on all devices when not in use.

  • Report loss or theft of devices immediately to local authorities and UW-Stout campus police.

When You Return

  • Loaner devices back to the Technology Help Desk.

  • Change all passwords.

  • Work with Technology Help Desk staff to run antivirus scans on any non-loaner devices that were taken.

Country-Specific Regulations

Laws and regulations are in effect that restrict and/or prohibit U.S. persons from traveling to or engaging in transactions with specific countries. Economic embargoes, trade sanctions programs, export controls, and anti-boycotting laws are all forms of restrictions that vary in scope depending on the country and are subject to change over time. Find the latest list through theU.S. Treasury Department.

All university faculty, staff, or students traveling to these countries must consult with their LIT Consultant prior to departure to understand if any restrictions apply to items you may wish to bring.

Using a loaner laptop is required if you wish to bring a UW-Stout device while traveling to any country listed with an active sanctions program by the Treasury Department.

Countries with an active sanctions program include:
