Help users install network printers that are maintained on UW-Stout print server.


Installing From Self Service

Some printers are set up to be installed from Self Service. These are typically printers in Mac high-traffic areas. If you don't see your printer available, you can request to have it added by creating a helpdesk ticket. Printers not available can also be installed using the Quick Install or Advanced Install options below.

This option is not available for students installing non-Papercut printers on their eStout computer. Please see the Quick Install or Advanced Install options below.
  1. Locate the Self Service application in your Applications folder and double-click to launch the app.

  2. When prompted, log in with your Stout credentials.

  3. Once logged in, click on Printers in the menu.

  4. Select Install for the printer you would like to install.

  5. If the printer requires print codes, a message will pop up during installation.
    (If you don't know your codes please contact your department's ADA. Codes can be entered using the Configuring Print Codes section further down in this KB.)

Quick Install (Only if no codes are required)

Standard users can install campus printers using this method. Please note that if your printer require codes, you will not be able to enter codes with this quick install.

Your screen may be look differently depending on your Mac OS but the settings will remain the same.

You will need to be on the Stout Secure network to complete the setup.

  1. Select System Preferences > Printers & Scanners.

  2. Click the + to add a new printer.

  3. Select the IP option. This will appear as a globe on some Mac OS.

  4. Enter these settings:

    1. Address:

    2. Protocol: Line Printer Daemon - LPD

    3. For Queue, enter the printer name that is stickered on the printer (ex. SORH_106_MFD_1)

    4. Use: Generic PostScript Printer

  5. Select Add.

  6. If prompted, select the checkbox to enable duplex and click OK.

Your printer is installed and ready to go!

Advanced Install (If codes are required)

Before installing network printer, you will need to know:

  • What is the operating system version (OSX) installed on the Apple computer?

  • Is the printer installed on the UW-Stout print server and what is the printer’s network name?

  • What is the manufacturer and model number of the network printer?

If you can't answer above question, please call or stop at the helpdesk located in Sorensen Hall 105 or call x5000 for technical assistance.

Part 1: Installing Print Drivers

Lanier Drivers

  1. Visit for the driver of the model printer you are installing.

  2. Agree and click Submit to enter the site.

  3. Choose the appropriate device menu and drop down the list and choose the model.

  4. Click on OSX version installed on Apple computers and click download arrow.

  5. Navigate to downloads folder on the Apple and double-click on the drivers DMG file (Downloads folder can be found in dock or by clicking on the finder and downloads folder will be on the favorites menu on the left of the screen).

  6. When DMG extracts click on .pkg file.

  7. Click Agree to terms of license.

  8. Select install destination of local hard drive.

  9. Click Install.

  10. When prompted put in UW-Stout username and password and click Install Software.

  11. Close when install is completed successfully. Drivers have been installed and you can now move to Part 2 - Configuring Printer HP Drivers

HP Drivers

  1. Download the latest printer drivers for supporting HP printers from Apple.
    Note:  There is a link on page to a list of Apple-supported printers.

  2. Navigate to downloads folder and double-click on the drivers DMG file (Downloads folder can be found in dock or by clicking on the finder and the downloads folder will be on the favorites menu on left of screen).

  3. When extracted click on HP drivers .pkg.

  4. Click Continue to install drivers, continue to software license agreement and Agree to software terms.

  5. Click Install and when prompted put in your UW-Stout username and password.

  6. Close when install is completed successfully.

  7. Reboot computer.

  8. Drivers have been installed and you can now move to Part 2 - Configuring Printer.

Part 2: Configuring Printer

  1. From the Apple menu, choose System Preferences.

  2. From the system preferences window, choose Printers & Scanners.

  3. Click ”+” to add a printer.

  4. On the ribbon right-click (control + click) and choose Customize Toolbar.

  5. Drag Advanced Gear icon to ribbon.

  6. Click Done.

  7. Click Advanced Gear icon, it will start spinning and searching for printers.

  8. When the search is complete, in Type dropdown menu and choose Windows printer via spools.

  9. In the URL box fill in the network address with the address of the printer server and the name of the network printer.
    Example:  smb://

  10. Put in the name of the printer APPA_322_MFD_1.

  11. Put in the location of the printer:  Applied Arts 322.

  12. In Use dropdown menu and click Select Software.

  13. Type in model number of printers.   Example of model: Lanier MP C2503.

  14. Click Add.

  15. If settings are correct and a prompt will appear to to create new printer.  Click Continue.


  16. Dropdown menu and select options to install for the printer.  Once you have selected your options, click OK  Note:  If the duplex option is available choose it so a page can be printed on both sides.  You can come back to these options later by clicking on on options from printer and scanner in system preferences.  Each network printer is setup up differently so the department secretary or manual will be the best reference for getting the most out of the printer options.

  17. The network printer has been successfully installed.

If printer requires codes, please refer to the Configuring Print Codes section below.

Troubleshooting :

  • Missing driver software for printer model and Apple Operating System:
    • If you cannot find printer software in the list make sure you have the right model and make the latest software has been downloaded and installed on Apple for the model printer installing.  If the driver software can't be found the model printer may not be supported by the Apple operating system.
    • There is a chance the generic PCL printer drivers can be used with limited functionality until Lanier updates drivers.
    • A disclaimer:  The functionalities of these drivers are not supported by client services.  Using PCL drivers is last effort used just to get printing functionality.

  • Click the "Plus" sign to add a printer and Add printer window does not open:
    • Reboot Computer
    • Gather windows to show all windows on one display.  System Preferences, Displays, Gather windows button at bottom right of window

  • If Add Printer window still does not appear and you tried all other solutions reset the printing system
    • This process deletes all printers from your list of printers, deletes information about all completed print jobs, and deletes all printer presets.
    • Important: First, try other troubleshooting techniques.
    • Choose Apple menu > System Preferences, then click Printers & Scanners.
    • Hold down the Control key as you click in the list at the left, then choose Reset printing system from the menu that appears.
    • After you reset the printing system, the list of printers in Printers & Scanners preferences is empty

Configuring Print Codes


  • Print code - Contact department associate for codes

  • Printer must already be installed (see Advanced Install above)

  1. Open Microsoft Word.

  2. Select File > Print.

  3. In the printer drop-down menu, choose the printer you'd like to add a code to.

  4. Next to Copies & Pages, click the drop-down and select Job Log.

  5. In the Job Log menu, click the checkbox next to Enable User Code and enter your code.

  6. At the top of the window, select the drop-down next to Default Settings and select Save Current Settings and Preset...

  7. Give your preset a name (such as Code), select Only this Printer, then click OK.

  8. Every time you print to this printer from now on, you will want to make sure that the preset you just created is selected.

If a print job doesn't print, try some of the following tips or contact the Technology Helpdesk with printer name and code.

  • Others are able to print, but my code isn't working:
    • Double-check codes are set up properly and that the preset it chosen.

  • My code worked and then stopped working:
    • Make sure preset settings are selected adn that you are logged in under the same credentials.
    • Make sure that codes have not been changed since you have last printed.
      • Your ADA will know if codes have changed.
    • If your password has recently changed, make sure your keychain has been reset.


  • Printer codes are requested and deployed on printers by the departemnt that leases the printer and requests that option.

  • Printer codes are the responsibility of the department to maintain and LIT will only facilitate the addition of codes to the address book when requested through a helpdesk ticket.

  • LIT does not encourage the use of codes, especially an individual code for every user in a department but understands the need to control the cost of printing.

  • If your department chooses to use print codes it must be understood that it is the department's responsibility to manage codes and inform users of their codes.

  • LIT does not manage, maintain, or otherwise support any funding strings or chargebacks associated with codes. Any funding string inquiries must be directed to Printing Services.

LIT will provide the following support:

  • Documentation on how to request codes be added to the printer.

  • Documentation and instruction for the end user to enter in the code in printer settings.

  • Basic troubleshooting assistance with printer codes.

Configuring Color Preferences

  1. Open Microsoft Word and click File > Print. This will open the Print Dialog.

  2. At the top of the Print Dialog, make sure that the printer you want to create the preset for is selected.

  3. Change the settings drop-down to Printer Features. This will change the available preference options.

  4. In the Printer Features menu, change the Color Mode to your preference. Typically, users will change this to Black & White.

  5. Change the settings drop-down to Job Log.

  6. Select Enable User Code and enter the code that is assigned to you. If you do not know your code, please contact your Department Associate.

  7. In the top Presets menu, select Save Current Settings as Preset...

  8. Give the preset a descriptive name and click OK to save.

  9. This preset is now saved and you can click Cancel to close the Print Menu.
