Computer requirements for remote work
Using a Stout Laptop:
You will have the option to select a Mac or Windows PC based on your individual and curricular needs.
Using a Stout laptop allows you to connect to the Campus network to provide secure access to Stout systems. UW Stout also manages the device in accordance with UW Policies and Standards.
Data may be downloaded and stored on your device if there is a business need to do so. Basically, using a Stout laptop will allow you to work remotely with the same access and tools you have available on campus.
Using your Personal Device:
Using your personal device allows access to any publicly available Stout system or service. This includes Workday, Canvas, Office 365 online applications, AccessStout, BP Logix, Team Dynamix, EAB Navigate, and many other web based applications.
However, you cannot store or process Stout data on your personal device. When using the services available through public access, the data is stored and processed in a Stout managed service. This is not true for applications you may have installed on your personal device. The data you are accessing must remain in the hosted service and not be downloaded to your device or processed using your personal applications and services.
This level of access is sufficient for most faculty and staff roles. However, there are some applications and services that require a VPN connection such as Tableau, ImageNow, access to campus labs and computing resources, etc. There are also administrative services, such as Systems Analysts, Developers, and other roles that require VPN access. Accessing the Stout network through a VPN requires a Stout managed device.
In most cases, Stout licensed software is not available to be installed on your personal device.

Using other personal devices such as your cell phone:
Installing Stout licensed Microsoft software such as Outlook and Teams is permitted on your personal device. When you log in, you will be asked to provide Stout with access to your device specifically for the service. This allows Stout technical staff to delete UW Stout data should you lose your phone. It also enforces policies such as a PIN or password to access Stout services, data classification labels, and limitations to sharing data between personal and Stout applications. Other apps such as Canvas may also be installed. In these cases, it is much like working from your personal device. The data is displayed but not stored or processed on your device.
A special note regarding other devices:
Care should be taken to avoid storing Stout data on your personal device.
There are many new technologies on the market such as pocket recorders that use AI to summarize meetings and conversations. It is also possible to store Stout data through your camera by taking images of whiteboards, documents, and other sources. These are just two examples of personal devices that you may inadvertently use without considering the risk.
In short, all Stout data must be stored and processed on UW-Stout approved and managed devices or services. Storing or processing Stout data on your personal device, including personal subscriptions for artificial intelligence and other services, is not permitted.
