Faculty and Staff departures

IT guidelines for faculty and staff deprovisioning

The deletion of campus faculty and staff accounts is performed based on the following:

  • Termination
    • Access to email and authentication will be removed the last day of employment
    • By supervisor request, email access can be granted to the supervisor or designee for 30 days

  • Lay-off
    • Access to email and authentication will be removed the last day of employment
    • By supervisor request, email access can be granted to the supervisor or designee for 30 days

  • Resignation
    • Access to email and authentication will be removed the last day of employment
    • By supervisor request, email access can be granted to the supervisor or designee for 30 days

  • Contract expiration (ex: Adjunct)
    • Email and authentication account will be available to employee for 30 days unless they are requested to be deleted by Human Resources or their department, or the University has been notified that they are not returning
    • By supervisor request, email access can be granted to the supervisor or designee for 30 days

  • Standard retirement
    • Access to email and authentication will be removed the last day of employment
    • By supervisor request, email access can be granted to the supervisor or designee for 30 days

  • Official emeritus designation
    • Email and authentication accounts that are unused for 12 months are disabled and will not be re-enabled
    • All Email and authentication accounts are required to comply with UW-System policy, which includes using Multi-Factor Authentication and completing the annual security training. If users are not in compliance, accounts will be disabled and will not be re-enabled.
    • By supervisor request, email access can be granted to the supervisor or designee for 30 days
