Networking Printing (PC): Adding Print Code to Printer Preferences

Help entering in printer codes to use MFD (Multi-Function Devices) that require them on end user computers

PC - Quick Instructions

  1. Right-click on printer icon and click on printing preferences
  2. Click on Detailed Settings tab<
  3. Click on Job Setup (middle column)
  4. Fill in user code with print/copy code and click on OK

Detailed Instructions for configuring codes on PC's 

  Printer installed and Print code or copy code - Contact department associates for codes -LIT does not assign or give out codes (Read Disclaimer at bottom)

1. Navigate to devices and printers

  • Windows 10 - In lower right of screen search for devices and printers and when it shows in the search results or click Devices and Printers
  • Window 8 - Swipe in from the right edge of the screen, and then tap Search(If you're using a mouse, point to the lower-right corner of the screen, move the mouse pointer up, and then click Search.)  Enter Devices and Printers in the search box, and then tap or click Devices and Printers.

2. Right-click on MFD printer and choose Printing preferences

3. Click on Detailed Settings tab

4. Click on Job Setup

5. In the user code, area put in printer code and click Apply

6. Code is saved and will allow printing going forward

If you do not have a Detailed Setting tab look for a Valid Access tab

1. Click on Valid Access tab if it exists.
2. Input user code and click on Apply
3. Code is saved and will allow printing going forward


If print job does not print, please try some of the following tips or contact the Technology Help Desk with printer name and code.  Extension 5000 or stop at the Technology Help Desk located in Sorensen Hall 105.

Others are able to print but my code is not working:

1. Make sure code are entered into preference correctly
2. Delete printer and re-install printer with print utility and setup code again

Code worked and then quit working:

Are you logged in as the same user? The printer codes are per user profile.  Meaning that everyone that logs into the computer will have to install the printer and add code

PRINTER CODES DISCLAIMER :  Printer codes are requested and deployed on printers by the department that owns or leases the printer.  The department requests this option, it is not setup by default.  Printer codes are the responsibility of the department to maintain, LIT will only facilitate the addition of codes to the address book when requested through a help desk ticket. LIT does not encourage the use of codes, especially an individual code for every user in a department.  LIT understands the need to control the cost of printing codes can be setup at department request.  If your department chooses to use print codes it must be understood that it is the department's responsibility to manage, assign and inform users of codes to use. 

LIT will provide code support for the following: 

1. Documentation on how request codes to be added to the printer
2. Documentation and instruction for end users on adding codes to printer settings
3. Basic troubleshooting assistance with printer code
