HR Background Check Email

HR sends the following email—or one similar to it—to employees identified as having a position of trust and that a background check is required:

"Hello [first name],

I have received notification by your supervisor that you have been selected for a position that is consider a “position of trust” (i.e. access to vulnerable population; use of master keys/card access to offices, facilities, or work sites other than own work site, including residential housing facilities; financial/fiduciary responsibilities of 50% or more). Criminal background checks are required for anyone who is holding a “position of trust”.  A criminal background check has been requested by the Human Resources Office on your behalf.

Shortly, you will receive an email from General Information Services (GIS) (eServices@geninfo.com) with a subject of “Action needed to complete a Criminal Background Check due to UW-System Board of Regents Policy (RPD 20-19)” which will prompt you to create a username and password. You will then be asked to give consent and supply personal information through a secure website including Social Security Number, date of birth, current and previous addresses, convictions and pending charges for the last 7 years. You will be given 5 days from the date the email message is sent to supply this information. Please note that you may encounter difficulty using certain browsers and mobile devices, so we recommend using Internet Explorer or Chrome on your laptop or desktop computer. Also, if you do not see an email from General Information Service in your inbox following this email, make sure to check your junk mail box.

Your employment cannot begin until after the background check is passed.

This process has been designed to protect your privacy. If you have any questions please refer to the Criminal Background Check FAQ’s, or contact the Human Resources Office at 715-232-2149 or via AskHR."

Due to the sensitive nature of the information involved, the Technology Help Desk advises contacting your supervisor or HR to verify the background check request prior to submission.
